JOB DESCRIPTION
Executive Team Assistant
CarSense is seeking an organized and dynamic candidate to collaborate with the Executive Team by providing administrative support in a manner reflecting the CarSense values and culture.
The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work in both a team environment as well as work independently on projects, from conception to completion, and must be able to handle a wide variety of activities and confidential matters with discretion.
Responsibilities:
Handle correspondence and communication to and from the office at the direction of the VP of Personnel and the Executive team
Responsible for arranging travel accommodations, scheduling interviews and appointments and maintaining calendars
Prepare reports by collecting and analyzing information
Assist with content on internet and intranet pages
Special events team leader, which includes organizing and supervising the annual Christmas party, corporate picnics, and training events
Track and analyze associate certifications and training
Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies
Receive calls, take messages and route correspondence
Complete special projects as requested
Handle all items with the appropriate level of confidentiality

Job Requirements
Qualifications:
Excellent knowledge of MS Office
Experience in special event planning
Exemplary planning and time management skills
Ability to multitask and prioritize daily workload
High-level verbal and written communication skills
Quick learner, and an analytical thinker
Discretion and confidentiality
A bachelor s degree in communications, business, or another related field is preferred, a minimum of three years related experience is required
The successful candidate will exemplify integrity, strive for self-improvement, and have an open-minded, work together, can-do attitude
Must be able to pass pre-employment testing to include background checks, drug testing, and hold a valid driver s license with a good driving history

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
